Role
We are looking for a reliable, organised, and proactive part-time receptionist and operations assistant to manage our morning front-of-house and front-office admin duties. Operating from 08:00 to 13:00, you will serve as the initial point of contact for guests, support daily back-office tasks, and collaborate closely with internal teams on VIP transport, meeting catering, and European logistics. The final hour (12:00–13:00) provides a dedicated crossover with the afternoon receptionist to maintain continuous shift handovers.
Key responsibilities
Front office & welcoming: open the reception promptly at 08:00; greet international visitors, manage main telephone/email enquiries, and maintain an organised reception area.
Shift crossover: collaborate with the afternoon receptionist between 12:00 and 13:00 to ensure seamless updates on calendar items, incoming mail, and guest arrivals.
Mail & deliveries: process incoming/outgoing post, parcel dispatches, and registered mail.
Invoicing & procurement support: register incoming invoices, assist with basic invoicing duties, and order office supplies, drinks, and facility consumables (e.g., via Merkur direct, office direct).
Cross-departmental collaboration:
Catering oversight: cooperate with internal departments to coordinate external catering for meetings and oversee beverage stations.
VIP & executive transport: work with relevant internal leads to coordinate local and airport transportation coordination for c-suite executives and guests.
Equipment transport & customs: assist the responsible team with coordinating equipment transport across various European countries, including handling initial customs telephone/email enquiries.
Candidate profile
Punctuality & reliability: exceptional time management skills are essential to ensure 08:00 desk readiness.
Experience & technical proficiency: prior front-desk or administrative experience. Confident in Microsoft OS (Outlook Calendar, Word, Excel).
Communication skills: strong communication skills in English and German (spoken/written) for international stakeholders and local suppliers.
Collaborative mindset: comfort working alongside specialised internal units to execute event catering and international logistics smoothly.
Salary offer
Starting salary: €1,500 gross per month (based on 20 hours/week, paid 14 times per year in accordance with Austrian labour standards), negotiable depending on qualifications and experience.
